The USAID Collaborative Governance Program (CGP), implemented by East-West Management Institute, announcing a vacancy position for Administrative Assistant. Reporting and supervision:

The Administrative Assistant closely cooperates and reports to the Operations Manager.

Overall responsibilities:

Assists with administrative duties in support of the operations team including financial, human resources, and office management.

Key Duties / Responsibilities:

•           Assists to the Operations Manager in organizing all office organizational and maintenance needs, transportation and logistics needs;

•           Assists to the Operations Manager in managing procurement to ensure timely, cost effective procurement in compliance with regulations;

•           Assists to the Operations Manager to manage human resources throughout all phases of recruitment, vetting and hiring, staff benefits, evaluation and records retention;

•           Prepares act of performed work for translators;  

•           Collects monthly invoices and other documents from our vendors;

•           Updates an inventory and contact list of the CGP team;

•           Prepares the reception and transmission of inventory with KNU Resource Center; 

•           Checks and updates service agreements and contracts;

•           Maintains office supplies at par stock; anticipates and coordinates needs and procures goods accordingly;

•           Arranges accommodation, airport pick up and drop off, as well as mobile phone arrangements for CGP and EWMI staff;

•           Assists in coordinating logistics, purchasing, and set-up for meetings, social events and other similar events;

•           Serves as Acting Operations Manager at times when the Operations Manager is absent


  •  Coordinates and supports team members in organizing joint activities


  •  Performs any other tasks that may be assigned by the Chief of Party or his designee


 1-2 years of experience overseeing office management and maintenance, procurement, IT and information systems, and logistics for an equivalent size USAID program;

  • Exceptional computer and IT skills (managing of web sites, Microsoft Word, Excel, Outlook, and others);
  • Ability to organize and prioritize, with impeccable attention to detail;
  • Ability to travel inside of the Kyrgyz Republic when required;
  • Strong team player and ability to work under pressure and independently;
  • Excellent language skills in English, Russian and Kyrgyz (written and oral);
  • Familiarity with procurement procedures: office supplies and equipment, transportation, accommodation, etc. as found in a USAID program
